Which Restaurant Tasks Should You Stop Paying Employees to Do Manually?

The next wave of restaurant automation is not only about robots. It is about removing low-value manual work from every shift.

With labor costs high and staffing decisions becoming more cautious, restaurant operators are taking a harder look at where employee time actually goes. Restaurant automation tends to bring to mind self-order kiosks, robotic fryers or AI-powered drive-thrus. But for many operators, the fastest opportunity is much less futuristic: identify repetitive manual tasks that consume labor every day and redesign the process so employees spend less time on them. That shift is especially relevant in 2026. According to the National Restaurant Association (NRA) operators are looking for technology that improves efficiency and productivity, including automation and data analytics. At the same time, restaurant employment declined in both June and July 2026, and the NRA described the labor market as entering a softer period in which operators are likely to remain cautious with staffing decisions.

Automation does not have to replace people. The best use of automation is often to give people back time.

Start by Separating High-Value Work From Necessary Work

Every shift includes work that creates obvious value: preparing food, serving guests, checking quality, coaching employees, managing inventory and keeping service moving. It also includes necessary work that does not require the same amount of human attention: waiting for something to heat, repeatedly scrubbing buildup, copying information between systems, counting the same items multiple times or completing routine checks manually.

Managers should not have to rebuild the same order from scratch every week.

Par levels, usage history, integrated inventory systems and exception-based ordering can shift the manager’s role from counting everything to reviewing what changed.

Even partial automation can make ordering faster and more consistent.

4. Scheduling and Routine Communication

Building schedules manually, texting employees one at a time about open shifts and repeatedly answering the same policy questions can consume management time.

Modern scheduling platforms can automate availability collection, shift swaps, reminders and basic communication, leaving managers to focus on the exceptions that require judgment.

5. Data Entry Between Systems

Whenever an employee copies the same information from a POS report into a spreadsheet, from a purchase order into an accounting system or from a maintenance log into an email, there is an opportunity to ask whether the systems can be connected. Manual re-entry costs time and creates another opportunity for error.

How to Decide What to Automate First

The best automation candidates usually share three characteristics: they happen frequently, they follow a predictable process and they consume meaningful labor without requiring much judgment.

A simple scorecard can help operators prioritize:

Frequency: Does the task happen every shift, every day or at every location?

Active labor: How many employee minutes are required rather than simply elapsed time?

Consistency: Does the result vary depending on who performs the task?

Guest value: Does the employee need to be doing this, or could that time be redirected to food, service or supervision?

Scale: What does the task cost when multiplied across every location and every operating day?

The Hidden Benefit: A Better Job for the Employee

Productivity is sometimes framed only as a financial metric, but repetitive low-value work also affects the employee experience. Few restaurant employees want more time spent on tedious scrubbing, redundant paperwork or avoidable data entry. Removing those tasks can make a job feel more organized and allow employees to spend more of the shift doing work that requires skill, pace and interaction. That matters when restaurants are trying to build a more adaptable workforce. The National Restaurant Association’s 2026 outlook emphasizes workforce development alongside technology, not technology in place of workforce development.
